A rental fleet does not need an arbitrary spare percentage. It needs enough interchangeable parts to survive the largest credible failure during setup or show time, then recover before the next dispatch.

Map the failure domains

Separate front modules, power supplies, receiving cards or hub boards, cabinet wiring, locks, masks, data jumpers and controller equipment. One spare cabinet does not solve every failure, and a box of modules cannot replace a damaged power box during load-in.

Record which parts are common across pitches and cabinet sizes. Standardizing receiving cards, power architecture, connectors and service tools reduces the number of unique spares a warehouse must hold.

Size spares around operations

Use the number of simultaneous shows, distance from the warehouse, tour duration, service turnaround and local technician skill. A fixed installation with remote support can wait for a shipment; a touring wall opening tonight cannot.

Keep modules from the same LED batch and calibration family where visual matching matters. Store controller files, receiver-card parameters and screen-mapping backups with the fleet record, not only on one technician's laptop.

Package for field replacement

Label each spare by model, pitch, batch and calibration group. Protect module faces, masks and connectors from pressure and static damage. A service kit should include the correct magnetic tool, lock hardware, approved cables and documented replacement order.

Train the crew on isolation: confirm whether power must be removed, how to protect adjacent modules and how to restore calibration. Practice during prep days instead of learning on a dark stage.

Measure consumption and replenish

Every use should create a fault record with cabinet, part, symptom, root cause and disposition. Review consumed spares after each event and replenish before the next dispatch. Repeated failures in one location may indicate cable strain, handling damage or a configuration problem rather than random component failure.

Ask the factory to quote the initial spare pack separately and state future part-availability terms. The goal is a fleet that can be serviced by your team without waiting for an international shipment.
